2. Information we collect

1. Your information: email address and name (if you enter one). If you sign in with Google, the name, email address and profile picture provided by Google.
2. Billing information: the billing name or company name, address and tax ID. Card numbers are collected by our payment processor, Stripe; we do not store them.
3. Messages: information that Senders submit through your Forms (name, email address, message and other fields).
4. Usage records: IP address, browser type, access times, activity logs and cookies.

3. How we use it

1. To provide the Service (sign-in; receiving, storing and showing Messages; sending notification emails; sending to chat tools and webhooks).
2. To rate the importance of Messages, tag and summarize them, and draft replies with AI.
3. To bill and collect fees.
4. To answer your inquiries.
5. To prevent misuse and keep the Service secure.
6. To analyze usage statistically to improve the Service (in a way that does not identify individuals).
7. To contact you about important matters such as changes to our terms or outages.

4. How Messages are handled

1. Messages are information that you, as the operator of a Form, collect from Senders. We handle them on your behalf only as necessary to provide the Service. Senders should refer to the privacy policy of the site that placed the Form.
2. We do not use Messages for any other purpose and do not use them to train AI models.
3. For AI sorting, the Message without the name and email fields, together with the domain of the email address, is processed by Cloudflare Workers AI. Information written in the message body is included. Cloudflare does not use content processed by Workers AI to train AI models.

5. Sharing with third parties

We do not provide personal information to third parties without consent, except:

1. as required by law;
2. when necessary to protect a person's life, body or property and it is difficult to obtain consent; or
3. as otherwise permitted by data protection laws.

Sending to chat tools or webhook URLs that you configure is done on your instructions.

6. Service providers

We entrust the handling of personal information to the following providers as necessary for the purposes above, and supervise them through contracts and other means.

• Cloudflare, Inc. (United States): servers, database, email delivery and AI processing
• Stripe, Inc. (United States): payments
• Google LLC (United States): sign-in with Google (only if you use it)

7. Providers in other countries

The providers above are based in the United States, and personal information may be processed on servers in the United States and other countries. We ensure through contracts and other means that these providers maintain systems that meet the standards set by Japanese data protection law. Information on data protection in the United States is available in the survey of foreign data protection systems published by Japan's Personal Information Protection Commission.

8. Security measures

We take the following measures to prevent leaks and other incidents:

• encryption in transit (HTTPS) and limits on sending sites and submission rates;
• passwordless sign-in with codes sent by email;
• access control per Workspace and restrictions on staff access;
• internal rules for handling personal information and staff training; and
• understanding the external environment, including the laws of the countries where our providers are located, as described above.

9. Retention

• On the Free plan, Messages are deleted 90 days after they are received.
• When an account or Workspace is deleted, related data is deleted within 30 days, except billing records and other information we must retain by law, which we keep for the required period.

10. Cookies

The Service uses cookies to keep you signed in and to remember your language. We do not use cookies for advertising or tracking.

11. Your requests

You may ask us to notify you of the purpose of use of, disclose, correct, add to, delete, stop using, erase, or stop providing to third parties the personal information we hold about you. Please contact us at the address below. After confirming your identity, we will respond without delay in accordance with the law. If you are a Sender, please contact the operator of the site that placed the Form first.
